Frequently Asked Questions

Short answers to the questions staff ask most.

Signing in

I forgot my password. What do I do?

Ask the hospital administrator to open Staff & Users and use Reset password on your account. Change it afterwards in My profile.

It says "Too many failed attempts".

After several wrong passwords, sign-in is paused for 15 minutes to protect your account. Wait, then try again with the correct password.

Why can't I see a menu that my colleague has?

Menus depend on your role (doctor, nurse, cashier…). The administrator can change your role in Staff & Users.

Can I use it on my phone or tablet?

Yes. The same address works on phones, tablets (upright or sideways) and computers. On small screens the menu opens with the ☰ button.

App, profile and online booking

How do I change my profile picture?

Tap your initials or photo at the top right to open My profile. Under Profile photo choose a picture (JPG, PNG or WebP, up to 8 MB; on a phone you can take one), then press Upload photo. Use Remove photo to go back to your initials.

Can I install the system as an app?

Yes. In Chrome or Edge press Install app at the top of the page (or the install icon in the address bar). On iPhone or iPad open it in Safari, tap Share, then Add to Home Screen.

Does the app work without internet?

No. For privacy, patient information is never stored on the phone or computer. Without a connection the app shows a "no connection" page and continues by itself when the connection returns.

How do patients book online?

They open the booking page (the link is in Online Booking → Booking settings), choose a doctor or clinic, a date and a free time, and enter their details. They get a reference code, and the booking appears in Appointments marked Online for reception to confirm.

A patient wants to cancel an online booking.

On the booking page they choose Check or cancel a booking and enter the reference code and their date of birth. Reception can also cancel it in Appointments.

Do patients get a text or email confirmation?

Not automatically. The confirmation with the reference code is shown on screen, and they can print it or add it to their calendar. Reception can call the mobile number on the booking.

Appearance

How do I add our hospital's logo?

An administrator opens Hospital Settings → Logo (or the System Administrator opens System → System branding), chooses the picture and presses Upload. PNG with a transparent background looks best.

How do I change the system name, the browser-tab icon or the phone app's name and icon?

The System Administrator opens System → System branding. Installed apps pick up a new name and icon by themselves within a day or two, or at once when reinstalled.

How do I change the colour of the system?

An administrator opens Hospital Settings → Appearance, picks a theme colour (or a custom one) and saves. It applies to everyone, and to the kiosk and TV display after they are reloaded.

How do I switch between the white and the dark background?

Press the sun or moon button at the top right. Your choice is remembered on that device. The administrator sets which one people get by default.

I chose a light colour and it looks darker than I picked.

Very light colours are darkened a little automatically so that buttons and links stay readable.

Patients and visits

How do I avoid registering a patient twice?

Always search first by name, MRN or phone. When you register someone with the same name and birth date as an existing patient, the system warns you and shows the matches.

What is the MRN?

The Medical Record Number. It is given once, automatically, and stays with the patient for every visit.

What is the difference between a visit and an admission?

A visit is one encounter (outpatient or emergency). An admission is an inpatient stay with a bed; it has its own visit so notes, orders and charges are kept together.

Can I change a completed visit?

No. Completed visits are locked to protect the record; you can still add a note. Released laboratory results can only be reopened by an administrator, with a reason.

Calendar and Google Calendar

How do I see a doctor's appointments in Google Calendar?

Open Calendar → Google Calendar on the online site and press Add to Google beside the doctor (or copy the link and use Other calendars → + → From URL in Google Calendar).

I booked an appointment but it is not in Google Calendar yet.

Google refreshes subscribed calendars on its own schedule, usually every few hours. To have one appointment there right away, click it in the Calendar and press Add to Google Calendar.

Why does Google show only initials?

To protect patient privacy, only initials and the MRN leave the system by default. An administrator can change this in Calendar → Google Calendar → Options.

Can I change an appointment in Google Calendar?

No. The link is one-way: book, move and cancel appointments in this system and Google follows.

Someone got a calendar link they should not have.

Press New link beside it. The old link stops working at once; add the new one in Google Calendar again.

Queue

How does the queue work?

Each department with a queue gives numbered tickets every day (for example C-014). Staff press Call next; the number is shown and announced on the display board.

Who is called first?

Emergency tickets first, then the priority lane (senior citizens, PWD, pregnant), then regular tickets, each in the order issued.

How do I put the board on a TV?

In Queuing → Queue settings copy the display link and open it in the TV's browser. Tap once to enable sound. No sign-in is needed because the link contains a secret key.

The board does not speak the numbers.

Browsers only allow sound after someone taps the screen once. Tap enable sound, check the TV volume, and make sure announcements are switched on in Hospital Settings.

Can patients use RFID cards?

Yes. Link a card on the patient's chart (RFID card button) with a USB RFID reader in keyboard mode. At the kiosk the patient taps the card and is recognised at once, without typing anything. Staff can also tap a card in any patient search box.

How do I upload a patient's X-ray?

On the radiology result press Add images, or on the patient's chart open Images & files → Upload X-ray / file. JPG, PNG, WebP, PDF and DICOM files are accepted, up to 20 at a time.

Who can see the X-rays and files?

Doctors, nurses, laboratory and radiology staff and administrators. Cashiers and the pharmacy counter cannot. Every time a file is opened it is recorded in the Audit Log.

I uploaded a file to the wrong patient.

Ask an administrator to remove it (trash button, with a reason), then upload it to the right patient. The removal is logged.

A patient lost their RFID card.

Open the patient's chart → RFID card → Unlink card. The old card stops working. Link a new card the same way.

How does a returning patient get a number at the kiosk?

They touch Returning patient, scan their patient card (or type their MRN or registered mobile number), enter their date of birth, and choose a service. The ticket is tied to their record and prints by itself.

How do I make the kiosk print to the POS printer without a print window?

Make the receipt printer the default printer in Windows, then start Chrome with --kiosk --kiosk-printing followed by the kiosk link. The System Manual (Queue) has the exact shortcut.

The kiosk says it cannot find the patient.

The number and the date of birth must both match the record of an active patient. Check the birth date and mobile number in the patient's chart. If two patients share a mobile number and birth date, they must use the MRN.

How do I open the kiosk screen?

Open Queue and press Kiosk, or copy the kiosk link from the Screens card and open it on the kiosk tablet or PC. The link has a key in it, so the kiosk does not need to sign in.

Can a new patient register at the kiosk?

Yes. They touch New patient, enter their name, date of birth and sex, and get a number. A record is created and marked for Registration to check and complete.

How do I play a video on the queue TV?

In Queuing → Queue settings choose Layout 2 – video, then paste a YouTube link or upload MP4 files. Reload the TV. Tap the screen once to allow sound.

The video has no sound, or is too loud.

Sound starts only after one tap on the TV screen. Set the volume (0–100) or turn the video's sound off in Queuing → Queue settings. It lowers itself while numbers are announced.

A YouTube video shows "Video unavailable".

Its owner does not allow it to be shown on other sites. Use another video or playlist, or upload your own MP4 file.

How do I show announcements at the bottom of the TV?

In Queuing → Queue settings → Announcements ticker, tick Show announcements, type one announcement per line and save. They scroll along the bottom of every TV display within a few seconds.

How do I change the voice that calls the numbers?

In Queuing → Queue settings → Announcements and voice choose the language or accent, a female or male voice, the speed and what is said. To pick an exact voice on one TV, press the microphone button at the top of the display. Microsoft Edge on the TV gives the most natural voices, including English (Philippines) and Filipino.

The display does not show the big “Now calling” pop-up.

Check that the TV's link does not end with &popup=0, then reload the page (F5).

A patient missed their number.

Press Skip. The ticket moves to the Skipped list, where you can Recall it or put it back in line.

Billing and pharmacy

Where do the charges on a bill come from?

Automatically: the consultation fee, every laboratory / imaging / procedure order, dispensed medicines and room charges are added to the visit's bill. The cashier can add other items by hand.

How is the senior citizen / PWD discount applied?

If the patient is marked Senior or PWD, new bills get the discount set in Hospital Settings (20% by default). The cashier can change it on the bill.

Can a patient pay part of the bill?

Yes. The bill becomes partial and shows the balance. Each payment has its own receipt number.

I made a mistake on a payment.

Void it with a reason (the cashier on the same day, or an administrator). The receipt stays on record marked VOID and the balance returns to the bill.

Why can't I dispense a medicine?

There is not enough stock. Receive the delivery in Inventory first, or dispense a smaller quantity (the prescription stays partial).

Point of Sale (POS)

Who can use the POS?

Cashiers, pharmacists and administrators. Cashiers and administrators also make the Z reading; only administrators change the POS Settings.

Why does the POS ask me to open a shift?

Every sale belongs to a cashier's shift so the cash in the drawer can be checked at the end. Count the drawer, type the amount and press Open shift. An administrator can switch this off in POS Settings.

Does a POS sale appear in Billing?

Yes. Each sale is a paid bill with one official receipt per payment method, so it is in Billing & Cashier, the daily collection report, Reports and the inventory ledger, and the stock goes down at once.

The scanner does not add the item.

The barcode must be the item's SKU in Inventory. Check that the scanner sends Enter after the code, and that no window is open on the POS screen.

It says "Not enough stock".

The inventory never goes below zero, so the sale is refused and nothing of it is saved. Receive the delivery in Inventory, or sell a smaller quantity.

How do I give the senior citizen or PWD discount?

Pick the patient: a patient marked Senior or PWD gets the discount at once. For a walk-in customer choose it under Discount. Either way type the ID number (it is printed on the receipt and kept on the bill).

The internet went down in the middle of a sale.

Finish the sale as usual: it is kept on the device and a provisional receipt prints. It uploads by itself when the connection is back and gets its official receipt number then. Do not close the POS page until the red upload button is gone. A sale is never recorded twice.

How do I cancel a sale?

Open it under Point of Sale → Sales and press Void sale (reason and your password). The items go back into stock. A cashier can void their own sale while the same shift is open; later an administrator does it. Do not void POS receipts in Billing: that does not return the stock.

My drawer is over or short.

The closing report shows the expected cash (opening cash + cash sales + cash put in − cash taken out) and the difference. Record every cash in / out with a reason during the shift so the count matches.

What is the difference between the X and the Z reading?

The X reading is one cashier's shift so far and can be printed any time. The Z reading is the whole day for all counters, made once per date after the shifts are closed; it is numbered and cannot be redone.

Backups and updates

How do I back up the system?

The System Administrator opens Backups and builds a Files + Database package. Download both the Archive and the Installer and keep them off the server.

How do I move the system to a web host?

Upload installer.php and the archive to the new folder, open installer.php in the browser, enter the installer password shown beside the package and follow the steps.

How do I send my latest changes to the online site?

On your local site open System Updates, press Compare changes, then Update online site now. The online site backs itself up first and is offline for only a few seconds.

Will an update overwrite the online site's patients or settings?

No. Updates send program files only. The database, config/config.php, uploads and backups of the online site are never touched; the database structure is upgraded in place.

An update went wrong. Can I undo it?

Yes. On the online site open System Updates → Update history → Roll back. Files and database return to the backup taken just before that update.

Still stuck? See Help or the System Manual.
